Overview

Job Title: Estate Manager Company: Private Family Office Reporting to: Chief of Staff / Director of Properties Location: Aspen, CO About Us: We are a private family office seeking an experienced Estate Manager to ensure all residences are impeccably maintained and managed. The Estate Manager will maintain high end residences, provide hospitality and concierges services, manage vendors, and manage property budget in a fiscally responsible manner. This role supports three neighboring residences in Aspen, with two owners. Position requires candidates with experience and vendor relations in the Roaring Fork Valley. Key Responsibilities: - Year-round position with a busy season in the summer from June – August and frequent guest trips January – March. - Ensure all residences are in top condition and well-managed. - Manager will be required to work in or near Aspen while the families are in residence and work in residence when the families are not in residence. - Conduct weekly home walk-throughs to ensure homes are well-maintained and safe. - Promptly troubleshoot any problems and evaluate solutions. - Develop a network of third-party vendors, setting clear expectations and building strong relationships. - Manage housekeeping services, annual maintenance procedures, and small renovation projects. - Manage complex scheduling and substantial turnaround to meet expectations for all households. - Utilize ongoing feedback from owners to drive continuous improvement across systems and processes. - Use and maintain household management software (AirTable), household manuals, policies, and maintenance schedules. - Organize homes to be logical, safe, and functional for owners and their guests. - Manage pre-arrival through post-departure experience for owners and guests including but not limited to: grocery shopping, managing housekeeping, errand running, vehicle drop-offs, dinner or experience reservations, etc. - Manage chef coordination including grocery and meal delivery, family preferences, in-house dinner parties. - Implement high standards of hospitality across all properties. - Ensure needs and preferences are anticipated and met with a warm and welcoming approach. - Oversee the setup and execution of events, dinner parties, and other gatherings with a focus on exceptional service and attention to detail. - Responsible for vehicle, sporting equipment, and kids gear maintenance and care. Qualifications: - - Minimum of 5 years of experience in property management or a related field. - Strong leadership skills with experience managing teams and third-party vendors in the Roaring Fork Valley. - Excellent organizational and problem-solving skills. - Ability to think critically and evaluate different solutions to complex problems. - Proficiency in Apple products, Microsoft Office Suite and AirTable, with the ability to create and update documentation. - Local candidates to the Roaring Fork Valley.
